Recordings deserve extra care

A recording of a prospective client describing their circumstances is sensitive. Ask where it is stored, for how long, and who can access it.

The value is new business, not existing clients

Existing clients usually have a direct line to their contact. The calls worth catching are the new enquiries that currently reach voicemail.

Compliance

Inbound calls a client or prospect makes are not marketing calls. Confidentiality obligations in your profession sit on top of the PDPA, and recordings of client calls may contain privileged or sensitive material. Know where they are stored and who can access them.

The script decides the outcome

Capture the matter type, urgency and contact details, then stop. The agent should never invite someone to explain their situation in detail, because that creates a record you may not want and an expectation you have not agreed to.

Ask any provider whether they have written scripts for professional services before, and ask to see one with the client name removed. Why the script matters more than the platform.

Two limits, and only one really applies here. Business contacts mostly take these calls in English, so the language limit bites less here, but it still ends any call that opens in the wrong one. The transfer limit is the real constraint: a partner-level enquiry cannot be passed to the person who can answer it, so the agent should be scoped to booking time rather than discussing the matter.

Will clients accept an AI answering?
For a first call, most prefer a useful automated response to voicemail. For an existing client with an ongoing matter, give them a direct route to their contact instead.
Can it answer questions about a matter?

What about confidentiality?

Is it worth it for a small practice?
