An AI receptionist answers your inbound calls, handles the routine ones, and captures the rest. It is the easiest use case to justify, because the alternative is voicemail and the cost of a missed call is usually obvious.

It is also the use case where the escalation problem bites hardest. Plan for what happens when a caller needs a person before you plan anything else.

The script matters more than the platform

Receptionist scripts need the shortest possible path to the answer, and a clean exit for everything else. The most important line in the script is the one it says when it cannot help, because that is the moment your brand is on trial.

Ask any provider whether they have written scripts for your industry, and ask to see one with the client name removed. Why the script decides the outcome.

What to test on your live call

Have the provider call your own mobile, over a mobile network. For this use case, watch for:

  • Ask something slightly outside the obvious script.
  • Ask to speak to a person and see what actually happens.
  • Call it while walking outdoors, which is how people ring you.

What drives the cost

Inbound volume is more predictable than outbound, so cost is easier to forecast. There is usually no Do Not Call screening cost, and concurrency matters only if you take several calls at once. You can work out what AI calling would cost at your volumes.

Compliance

Inbound calls a customer initiates are not marketing calls, so Do Not Call screening does not apply. Recording still brings PDPA obligations, so notify the caller and know where recordings are stored. Read what the PDPA and Do Not Call rules require.

Two limits worth designing around. A receptionist takes whoever calls, and most agents cannot switch language once the call is running, so the greeting should offer the choice rather than assume one. Most also cannot put a caller through to a colleague, which is the thing people most expect a receptionist to do, so say early in the call that a person will ring back and give a time.

Common questions

Can it transfer a caller to a real person?
Often not. Many agents in this market either cannot transfer a live call or cannot do it reliably. Ask directly and ask to see it working. If it cannot, design around a fast callback and be honest with callers about it.
Will callers know it is not a person?
Most will, fairly quickly. That is usually fine for an inbound call where the caller wants an answer, provided the agent is useful and does not pretend to be human.
What about after-hours calls?
This is where an AI receptionist earns its keep, because the alternative is voicemail. Decide what it should say at 11pm, since promising a callback in ten minutes overnight creates a problem.
Does it work for a clinic?
It can handle appointment requests, opening hours and general enquiries. It should not give clinical information or advice, and anything touching a medical condition raises the sensitivity of the data considerably.
